Rosie’s Way Equine Therapy respects your privacy and is committed to protecting the personal and health information entrusted to us.
This Privacy Policy explains how we collect, use, store and disclose information when you visit our website, contact us or enquire about our services.
Rosie’s Way handles personal information in accordance with the Privacy Act 2020 and, where applicable, health information in accordance with the Health Information Privacy Code 2020.

Rosie’s Way Equine Therapy provides psychology, equine-assisted therapy, group wellbeing, workplace and retreat-style services from Whangārei Heads, Northland.

Information we may collect
The information we collect will depend on your relationship with Rosie’s Way and the services about which you are enquiring.
It may include:
• Your name and contact details
• Your preferred method and safe time for us to contact you
• The name of your organisation or group
• The type of service you are interested in
• Information about your group, proposed participants and desired outcomes
• Preferred dates, group numbers and practical requirements
• Accessibility, health or safety information relevant to participation
• Referral, funding or ACC information where applicable
• Communications between you and Rosie’s Way
• Consent, participation and service records
• Payment and invoicing information
• Website usage and technical information, such as your browser, device type, approximate location, pages visited and how you reached our website
• Any other information you choose to provide
If you become a psychology or therapy client, Bronwen may need to collect more detailed personal and health information. How this information is collected, used and shared will be discussed with you as part of the referral, assessment and informed-consent process.

Information about other people
If you enquire on behalf of another person or provide information about members of a group, you must have an appropriate reason and authority to provide that information.
Please do not include detailed personal or health information about another person in a general website enquiry unless Rosie’s Way has asked you to provide it.
Where Rosie’s Way receives personal or health information from someone other than the person concerned, we will take reasonable steps to ensure the person is informed where required by law, unless an applicable exception applies.

Why we collect information

We will only collect information that is reasonably necessary for a lawful purpose connected with our work.

Health and sensitive information
Information about a person’s physical or mental health, therapy, ACC involvement or personal circumstances can be particularly sensitive.
Please avoid including detailed health information, treatment history or descriptions of traumatic experiences in the general website enquiry form. The form is intended to begin a conversation and does not replace Bronwen’s assessment, consent or onboarding process.
If additional information is needed, Bronwen will discuss an appropriate and more private way for it to be provided.

How we collect information
We generally collect information directly from you when you:
• Complete an enquiry or contact form
• Send us an email
• Telephone or speak with us
• Make or attend an appointment
• Participate in a session or programme
• Complete a consent, assessment or feedback form
• Engage with Rosie’s Way through social media

In some circumstances, we may receive information from another person or organisation, such as:
• A parent, guardian or authorised representative
• A healthcare or rehabilitation provider
• ACC or another funder
• An employer, HR representative or group organiser
• Another professional involved in providing support
• A person making an enquiry on your behalf
Where required, we will explain the source of the information, why it was collected and how it may be used or disclosed.

Cookies, analytics and website information
Our website may use cookies and analytics services, such as Google Analytics, to help us understand how visitors find and use the site.

Our website uses Google Analytics to help us understand how visitors find and use the site. The website also displays a QR code linking to Rosie’s Way’s Facebook presence. The QR code itself is a static link and does not collect personal information through this website. If you scan the code or follow a link to Facebook, you will leave our website and Facebook’s own
privacy policy, cookies and data practices will apply.

Rosie’s Way does not currently use the Meta Pixel on this website. If additional analytics, advertising pixels, embedded social-media feeds or similar tracking technologies are introduced, this Privacy Policy will be updated accordingly.

How we may share information
Rosie’s Way does not sell or rent personal information.
We may disclose information only where it is reasonably necessary, authorised or required, including to:
• Bronwen and authorised people assisting Rosie’s Way
• Service providers supporting our website, email, data storage, accounting or administration
• ACC, referrers, funders or other professionals where authorised or permitted
• Group organisers where appropriate and with clear boundaries around what may be shared
• Emergency, health or public authorities where necessary
• Professional advisers, insurers or regulatory bodies
• Any person or organisation where disclosure is required or permitted by law
When a third party provides technical or administrative services to Rosie’s Way, we take reasonable steps to ensure information is handled securely and only for the purpose for which it was provided.

Confidentiality and its limits
Psychology and therapy information is treated as confidential and will not ordinarily be shared without the individual’s knowledge or authority.
There are, however, circumstances in which information may be disclosed without consent. These may include situations where disclosure is required by law or is reasonably necessary to prevent or lessen a serious threat to someone’s life, health or safety.
The nature and limits of confidentiality will be explained more fully during the informed-consent process before psychological services begin.
For group and workplace sessions, Bronwen will explain the privacy expectations and limits that apply. Participants may be asked to respect the privacy of others; however, Rosie’s Way cannot guarantee that another participant will keep everything said or observed within a group confidential.

Workplace and group enquiries
An employer, manager or group organiser may receive general information needed to arrange a programme, such as attendance, scheduling and agreed group-level objectives.
Personal disclosures, health information or individual observations will not ordinarily be shared with an employer or organiser without the participant’s informed consent, unless disclosure is legally or ethically required.
The information to be collected and any reporting arrangements will be agreed before a workplace or group programme begins.

Children and young people
Where services involve a child or young person, Rosie’s Way will take particular care to collect information fairly and sensitively.
The consent and involvement of parents, guardians, caregivers or other representatives will depend on the young person’s age, understanding, circumstances, applicable law and the nature of the service.
Bronwen will discuss consent, confidentiality and the involvement of other people before services begin.

Photographs, video and testimonials
Rosie’s Way will not use identifiable photographs, video, testimonials or personal stories for promotional purposes without appropriate permission.
A separate written consent process will be used where Rosie’s Way wishes to capture or publish identifiable material. Declining promotional photography or publicity will not affect a person’s ability to receive an otherwise suitable service.
Permission may be withdrawn for future use by contacting Rosie’s Way, although material already lawfully printed, distributed or published may not always be capable of complete removal.

Storage and security
Rosie’s Way takes reasonable steps to protect personal and health information against loss, unauthorised access, misuse, alteration or disclosure.
Safeguards may include secure systems, password protection, restricted access, appropriate physical storage and secure disposal practices.
No internet transmission or electronic storage system can be guaranteed to be completely secure. If you are concerned about sending sensitive information electronically, please contact Bronwen to discuss another method.

Storage outside New Zealand
Rosie’s Way uses reputable third-party providers for services such as website hosting, email, analytics and data storage. Some information may therefore be stored or processed on servers located outside New Zealand, including in Singapore, the United States or other countries where our service providers operate.
Where overseas providers are used, Rosie’s Way takes reasonable steps to ensure that personal information is protected by appropriate privacy, security and contractual safeguards. Overseas providers are permitted to handle information only for the purposes of providing their services to Rosie’s Way and in accordance with their applicable privacy and security obligations.

How long we retain information
Information is retained only for as long as it is reasonably required for the purpose for which it was collected or to meet professional, clinical, funding, insurance and legal obligations.
Clinical and psychology records may be subject to specific professional retention requirements.
When information is no longer required, it will be securely deleted, destroyed or anonymised where reasonably practicable.

Accessing or correcting your information
You may ask Rosie’s Way to confirm whether we hold personal or health information about you and request access to that information.
You may also ask us to correct information that you believe is inaccurate, incomplete or misleading. If a requested correction is not made, you may ask for a statement of correction to be attached to the information where applicable.
Some legal grounds may permit or require Rosie’s Way to withhold particular information. If this applies, we will explain the reason unless the law prevents us from doing so.

If a privacy breach occurs, Rosie’s Way will take reasonable steps to contain and assess it.
Where a breach has caused, or is likely to cause, serious harm, we will notify the Office of the Privacy Commissioner and affected individuals as required by the Privacy Act 2020.

Links and social media
Our website may contain links to Instagram, Facebook or other external websites. Those services operate under their own privacy policies and practices, which Rosie’s Way does not control.
Please take care when posting or sending personal information through social-media platforms.
